Use Vault and attachments without losing context
Attach, find, retain, and understand files without confusing Vault with backup or sync.
How to use this
Attach from the record
Attach receipts and documents from the entry, claim, invoice, or import where they belong.
Open Vault later
Use Vault to find retained files across the app.
Check context
A file should show which record or module it belongs to.
Do not confuse backup
Vault stores and indexes files; backup is for recovery.
Keep evidence
Use Vault for receipts, invoices, import originals, and support documents.

Attach where the file belongs
Add expense receipts from Entries, claim receipts from Reimbursements, invoice files from Billing, and import originals from Import Center.
Search Vault by context
A useful file should show filename, type, linked record, date, and storage/offload status.
Understand Vault and backup
Vault helps you find files. Backup helps you recover data if something is lost.
Check offload status
If files are moved to drive or external storage, check status before deleting anything manually.
Before you finish, check this
- File is linked to the correct record.
- File opens after save.
- Vault search finds it by name/context.
- Backup/offload status is clear.
Common mistakes to avoid
- Using Vault as a replacement for backup.
- Attaching the same receipt to the wrong module.
- Deleting drive files outside the app without checking recovery impact.
